Write off disputed credit note
Use this option to write off the difference between the return price and the credit note price on a disputed credit note.
This option should only be used if you want to accept the credit note price for the goods, but also want to use the original return price for the cost of the goods.
You can only use this option to write off disputed credit notes that match the following criteria:
- The dispute code applied to the credit note is set to allow values to be written off.
- The received quantity and the credit note quantity are the same, but the credit note price is different to the return price.
Outcomes of writing off a disputed credit note
- The values on the disputed credit note are posted to the Purchase Ledger. The supplier account is decreased by the credit note value.
- The return value (quantity x return price) is posted to the relevant nominal account.
- The difference between the return value (quantity x return price) and the credit note values (quantity x credit note price) is posted to the specified write off account.
- The relevant return lines are updated.
To write off a disputed credit note
Open: Purchase Order Processing > POP Maintenance > Write Off Disputed Credit Notes.
- Enter a date to select the range of disputed credit notes you are interested in. All eligible credit notes for write off in the date range are displayed and are prepared for write off.
- Select the nominal account to post the written off values to.
- Enter a narrative for the nominal postings (optional).
- If you are using cost centre breakdown, select the Analyse postings by cost centre and department check box (optional).
- To prevent a disputed credit note from being written off, clear the check box to the left of the credit note.
- Click Write Off Credit Notes.
