Chase Debt and Manage Payments

To protect your cash flow and maintain your company's credit rating, it's very important that you manage what you owe and what is owed to you effectively. The Customers > Chase Debt and Suppliers > Manage Payments options bring all of your credit control tasks into one place, so you can easily check what is owed and outstanding, deal with disputes and refunds, check your days sales outstanding (DSO) values and make supplier payments.

Chase DebtOpen this section

The Chase Debt window displays a list of customer accounts with a summary of their current credit position. The list displays information from the customer record, including the outstanding and overdue balances and the age of the oldest debt. You can also see details of promised payment amounts, account statuses and credit positions and the dates of any follow-up action you need to take.

To change the information that appears to suit your needs, you can:

The Chase Debt credit control options

From the Chase Debt window toolbar you have easy access to key credit control functions:

Customer Record

To view a customer's record details, select the customer > Customer Record.

Activity

To view a customer's transaction activity, select the customer > Activity.

Aged Balances

To view customer aged balances, select the required customers, then:

  • Aged Balances > Aged Balance Report Date > enter the date you want to use to calculate the aged balances >  Include Payments Up To > enter the date you want to include payments up to > OK.

Disputes - Accounts Plus and Accounts Professional only

To view and manage disputed items for a customer > Disputes > A/C > choose the required customer > OK. Read more

Credit Charges

If you haven't already done so, before you can apply credit charges, you must first set up your finance rates, and within the relevant customer record Credit Control tab select the Can charge credit check box.

To apply credit charges > Credit Charges > follow the Credit Charges wizard.

Write Offs/Refunds

To write off or refund transactions > Write Offs/Refunds > follow the Write Off, Refunds and Returns wizard.

Debt Analysis

To view your Days Sales Outstanding and Days Sales Overdue information, select the customers you want to include > Debt Analysis. Read more

Letters

To generate letters to your customers, select the customers you want to include then:

  • Letters > left-hand pane > click Letters > right-hand pane > select the letter you want to use > Preview > if a Criteria window appears, enter any required criteria > OK. Read more

Communications

To view communications for a customer, select the customer > Communications.

Reports

To generate a customer report, select the customers you want to include then:

  • Reports > left-hand pane > click the required report folder > right-hand pane > select the report you want to run > Preview > if a Criteria window appears, enter any required criteria > OK. Read more

Cash Flow Forecast

This shows a forecast of your cash flow, taking into account forecast payments and receipts. Read more

Statement

To generate statements for your customers, select the customers you want to include then:

  • Statements > left-hand pane > click Layouts > right-hand pane > select the statement you want to use > Preview > if a Criteria window appears, enter any required criteria > OK. Read more

Manage PaymentsOpen this section

The Manage Payments window displays a list of supplier accounts with a summary of their current credit position. The list displays information from the supplier record, including the outstanding and overdue balances and the age of the oldest debt. You can also see details of promised payment amounts, account statuses and credit positions and the dates of any follow-up action you need to take.
