Using the secure mailbox

1.   Click e-Submissions > IR Secure Mailbox.

Depending on how your e-Submissions settings have been set up, you may be prompted to retrieve new mail:

If the 'Check for new messages when opening the IR Secure Mailbox' check box is selected in your e-Submission settings, the Retrieving new mail window appears when you receive new messages from HMRC. Once all the new messages are retrieved, a confirmation message appears. Click OK.

If there are problems connecting to the Internet, a message appears:

To close the IR Secure Mailbox so you can check your Internet connection and try again, click Cancel. If you want to access your IR Secure Mailbox without an Internet connection to the Government Gateway, click Offline.

Tip: At the bottom of the window you can see the status of your Internet connection.

2.   In the Folders section, the following information is displayed:

HMRC MailboxOpen this section

This folder displays the payroll messages that have been sent by HMRC. These messages normally relate to employee information, such as updates to their tax codes or confirmation of NI numbers, and a list of the relevant employees. Find out more.

HMRC SubmissionsOpen this section

From this folder you can submit relevant information, such as a P46 Car, directly to HMRC. When you click this folder it expands to show the information that can be submitted. When you click an item, for example P46 Car, the list of submissions on the right displays the employees with information that can be sent to HMRC. Find out more.

Submitted ItemsOpen this section

This folder expands to show the items already submitted. When you click an item, for example P46 Car, the list of Submitted Items on the right will display the employees with information that has been sent to HMRC. You can submit the information again from here if you need to.

3.   To return to the payroll desktop > File > Exit.
