Transfer stock

About transferring stock

Transferring stock is relevant if your system is set to use multiple locations. You can transfer stock between both warehouses and bins.

The system checks the effect the transfer will have on the stock levels set for the stock item at its current location and target location. Warnings are displayed if the quantity requested at the current location:

You can continue to transfer the requested quantity or amend it so that the transfer quantity is in the stock levels specified for the item. However, you can only transfer a quantity that exceeds the total quantity in store provided the item is enabled for negative stock levels.

If the transfer includes allocated items, the allocation requirement remains at the current warehouse. However, batch/serial numbered items where the batch/serial numbers have been assigned to an order or issue prior to releasing items cannot be transferred.

Batch/serial numbered items displayed as available during the activity can be allocated or issued by other Sage 200 processes. When an item is selected the system checks for this. If the item is in use by another process, the item is displayed red. You will need to select another numbered item from the displayed list.

The system also checks the effect of transferring stock to the target location. If the transfer causes the overall stock quantity to exceed the specified level for the stock item, a warning is displayed. You can continue to transfer the specified quantity or amend it so that the overall quantity remains in the stock levels specified for the item.

Note: You cannot transfer an inactive stock item.

To record a stock transfer

Open: Stock Control > Adjustments > Transfer Stock.

  1. Select the Stock item.

  2. Enter the details on the following tabs:

    Details
    1. Select the location you want to transfer the stock item from, using the Stock location - Warehouse drop-down list.
    2. Select the location you intend to transfer the stock to, using the Warehouse drop-down in the Transferred to section.
    3. Enter the Quantity of stock to be transferred (up to five decimal places).
    4. Accept or amend the transfer Date.
    5. Enter References for the transfer (optional).
    Stocking Levels

    Use this tab to enquire on warehouse stocking levels.

    Note: The stocking levels for the source warehouse (transferred from) are displayed.

    1. Select the Warehouse you want to enquire on using the Warehouse drop-down list. The stocking levels are displayed.
    2. Click Save or Proceed for batch/serial numbered items.

  3. Record the batch/serial numbered items to transfer, if applicable.

    To record the batch/serial numbered items
    1. Select the batch/serial numbered items to be transferred by clicking the check box to the left of each required item.
    2. Batch only: In the New Quantity column (not shown on the example window here) enter the amount required expressed in the item's stock unit.
    3. Click OK to save the transfer record.
    Tip:

    When dealing with batch/serial numbered items you can also use:

    • Auto select: The system selects the items for you starting with the first item and continues in the order in which they are displayed until the required quantity is satisfied.
    • Find: To search for batch/serial numbered items.
    • Show details: To view further information such as the item's supplier and goods in details.
    • Refresh: To update the status availability of displayed items when items have been secured by other Sage 200 processes.
