To add footer details

You can use the Footer details tab to add information that applies to the invoice or credit as a whole, for example carriage charges. You only need to enter these details once, saving you time.


To add footer details

  1. From the Invoice window, click the Footer Details tab.

    The Footer Details window appears. Some of the boxes are already filled in for you, with information taken from the Customer Record.

  2. In the boxes provided, enter the carriage charges you require, or leave blank if you are not charging for carriage.

    Net

    The net amount, excluding VAT, charged for the delivery of goods.

    When creating an invoice or credit note you can enter the net amount.

    If you have set up a standard amount for carriage then it appears but you can amend as required.

    Tip: To set a standard amount for carriage, open Settings > Invoice and Order Defaults > Footer Defaults tab. Enter the amount in the Net box.

    Tax Code

    The tax code used to calculate the rate of VAT for the carriage that appears in the VAT box.

    When creating an invoice or credit note the tax code associated with the delivery address as displayed on the Order Details tab.

    If there is no delivery address, the tax code set on the customer's record appears.

    If the code is not correct, from the drop down list, choose the correct code.

    VAT

    The VAT due for the carriage, calculated using the net value box and the tax code.

    You can amend the VAT to round the total carriage to the amount you want to charge by selecting the Item VAT amendable check box. To do this, open Settings > Company Preferences > VAT tab. In the VAT Details section select the Item VAT Amendable check box.

    Gross

    This shows the gross amount of carriage to be paid.

    N/C

    Enter the account reference for the nominal code to which the carriage value is to be analysed. You can use the finder to display a list of nominal accounts from which to choose.

    Note: If you have chosen to enter a default nominal code for your carriage in your Invoice and Order Defaults, the default nominal code appears automatically . You can edit this if required.

    Department

    If you want to analyse the carriage to a department, enter the number here or choose one from the drop-down list.

    Note: If you have chosen to enter a default department to analyse your carriage to in your Invoice and Order Defaults, the default department appears automatically. You can edit this if required.

    Consign. No

    Enter the consignment number of your order.

    Courier

    If you are using a courier to deliver your order, from the drop-down list, select the courier you are using.

    If you have Internet access, you can use the Launch button to access your courier’s website and check the delivery status of your order.

  3. In the boxes provided, enter the settlement terms.

    Days

    Enter the number of days during which early settlement discount applies to this invoice, if any.

    This box defaults to the number specified on the Customer Record.

    Amount

    This is the actual value of the discount given.

    Discount %

    If appropriate, enter the percentage of settlement discount that you want to offer in this box.

    This defaults to the percentage specified on the Customer Record.

    Total

    This amount is the gross value of items - that is net plus VAT, including any carriage costs and less any discount.

  4. In the Global area, enter any conditions you want to apply, to the whole invoice. If you enter these settings, only one line is added to the audit trail.

    Note: Carriage always updates the Audit Trail on a separate line.

    If you want to analyse your invoice or credit note per line, leave this section blank.

    N/C

    If you want to analyse the entire net value of the invoice to just one nominal account, enter the nominal code in this box.

    You can use the drop-down list to choose from a list of nominal accounts.

    When you enter a nominal code in this box, you activate the whole of the global area.

    This means that the invoice posts one line to the audit trail using the entries you have made in the N/C, Details, Tax Code and Dept. boxes.

    Details

    Enter the details you want to use for the posting.

    You can enter up to sixty characters. This appears on your reports.

    Tax Code

    To analyse the whole invoice to one tax code, from the drop-down list,select the code you require.

    Department

    Sage Instant Accounts Plus and Sage 50 Accounts only

    If you want to analyse the entire invoice to just one department, enter the department concerned in this box or choose one from the drop-down list.

    If no department is specified, the audit trail updates with a department number of 0.

  5. In the Tax Analysis section you can see a breakdown of the tax codes that apply to the various product items.

    Tax Analysis List

    This lists box all of the VAT on the invoice into the separate tax codes.

    As a new line is entered on the invoice, the values automatically recalculate.

    The list shows, for each tax code used, the code, rate, description, net and VAT.

  6. To save the invoice for later printing in a batch > Save, or to print the invoice straight away > Print. When you click Print, you can also choose to update the information to the ledgers.

    Tip: To clear the entries you have made and start again> Discard.

  7. To exit the Invoice window> Close.
