Supplier record - purchases

The Purchases tab provides a good overview of the trading between you and your supplier. You can use this tab to make a quick assessment of your trading with them.

Tip: You can view the purchases information as a graph on the Graphs tab.

Open the Suppliers module, from the Suppliers window double-click the record you want to work with then click the Purchases tab.

First Invoice

The date of the first invoice or purchase order recorded for the supplier in the current financial year.

Last Invoice

The date of the most recent invoice or purchase order recorded for the supplier in the current financial year.

Last Payment

The date of the last payment you made to the supplier in the current financial year.

Last Receipt

The date of the most recent receipt for example, a refund from your supplier in the current financial year.

To date boxesOpen this section

M.T.D

This is the month to date figure and is the amount you have spent with the supplier this month, excluding VAT. It updates for you as transactions are recorded for the supplier.

It is not used in credit control processes, such as debt chasing and can be amended.

The Year End option sets this value to zero for the new year. If you use the month end feature to maintain your accounts, you can choose to have this value set to zero for the new month.

Y.T.D

This is the year to date figure and is the amount you have spent with the supplier so far this year, excluding VAT. It updates for you as transactions are recorded for the supplier.

It is not used in credit control processes, such as debt chasing and can be amended.

The year end feature sets this value to zero for the new year.

Prior Y.T.D

The amount you spent with your supplier in the previous year, excluding VAT.

Monthly valuesOpen this section

All of these values are read only. These balances, are automatically updated when you record a transaction for this supplier.

Month

Displays a set of standard labels used to indicate different periods analysed on the account:

  • B/F - The balance on the account brought forward from the previous year.
  • The 12 months of the current financial year.
  • Future - The value of transactions recorded for the next financial year.
Invoices

The value of purchases made with the supplier (invoice/purchase order).

Credits

The value of credits by the supplier has given you.

Purchase Balance

The balance of purchases for the month, and is the invoice value minus any credited values.

Payments

The value of payments you have made to your supplier.

Receipts

The value of any refunds made to you from your supplier and is made up of invoices and purchase orders.

View details of the monthly transactions Open this section

To view the transactions that make up the total, double-click a value in the table.

No

Displays the number of the transaction. If the box on the left hand side has a cross inside it indicates that the transaction is made up of a number of smaller transactions.

To view all of these transactions, click the box. If you choose to look at all the transactions, to go back to the original view click Tidy List.

Type

The type of transaction, for example, PI is a purchase invoice.

Date

The date that the transaction was given when it was posted.

Ref

The transaction reference number that was entered when the transaction was created.

Ex Ref

This is the extra reference entered, when the transaction was posted.

Note: The extra reference only appears if you have drilled-down to an individual transaction.

Details

This is any additional information that was entered when the transaction was created.

Project Ref
(Accounts Plus and Accounts Professional only)

If a transaction is associated with a project, the corresponding project reference appears.

Note:  A project reference is only displayed if you have drilled-down to an individual transaction.

Amount

This is the transaction amount.

O/S

This is any amount that is left outstanding on the transaction.

A p to the right of this value indicates that the transaction is part paid.

An * indicates that the whole transaction is outstanding.

Debit

If the transaction is a debit amount, the amount appears here.

Credit

If the transaction is a credit amount, the amount appears here.
