Supplier transaction activity

Use the Activity facility to see at a glance the transactions you have made with each supplier. You can see invoices, credit notes,discounts received and any payments you have made or received.

The Activity window's split window displays each transaction one line at a time. Each shows the transaction type, date, reference, details, the amount and status, and the debit or credit value. In addition, the Activity window also shows a supplier's balance, expenditure and monies paid.

Each line of the upper pane of the split window represents a single invoice, credit note, payment on account, payment, discount received or payment you have received from your supplier. These lines are a summary of the individual items that make up the transactions.

To see the individual items, select a transaction in the upper pane and view the breakdown in the lower pane. For example, if the upper pane shows an invoice that has been paid, select it to view the individual lines of the invoice and the payment details in the lower section of the window.

Accounts Professional users can open a transaction's associated purchase order document from the Activity window, provided that one exists in your software.

To view the purchase order that is linked to a PI transaction, select the transaction in the upper pane of the window and click View to display the original order.

You can restrict the transactions displayed on the Activity window using various selection fields that appear at the top of the window.

For example, you can view only those transactions dated within the last thirty days by selecting Last 30 days from the Show: drop-down list.

Alternatively, you can filter transactions by date range, transaction type or transaction number.

For most of these filter options, your software retains your choices and displays the Activity window with the same filter applied the next time you view it.

The exceptions to this are date or transaction number ranges you enter - you'll need to reselect these each time you view the activity.
