Accountant Link for accountants

Using the Accountant Link means that your client can email you their data and don't need to stop processing, the data is transferred in a password protected file so it's both convenient and safe. It also puts less pressure on how quickly you need to get the information back to them - you can even incorporate changes they make after they've sent the original backup.

These steps explain how to use the Accountant Link feature if you are the accountant, working on your client's data. If you are the client, please refer to Accountant Link for clients.


Importing the client's dataOpen this section

Note: You cannot import data from a later version. Your version of Client Manager must be the same as or later than your version that your client is using.

  1. Modules > Wizards > Accountant Link > Yes > Import > Next.
  2. Browse > locate and select the required file > Open.

    Tip: Comments entered by the client in the Accountant Link wizard appear in the File Comment box.

  3. Enter the password > Import.

    Note: The password is case sensitive. You cannot decode this password once it has been set. If you cannot remember the password set on the file the client must recreate the file by completing the Accountant Link wizard to export the data again. If the data is from an earlier version an Information message appears to convert the data > OK.

  4. Choose Check data now or Exit without checking > Exit.

Material changesOpen this section

Once the client has exported the data, and before importing the adjustments, any amendment the client makes to the data is classed as a material change.

When a material change is posted, for example, a bank payment or creating a new customer record, a message appears asking the client to record the detail of the material change. You can then import this information to see any changes the client has made since the original export was made. Material changes should arrive on an email as .dta files.

To import material changes
  1. Open Sage Accounts > Help > About.
  2. Note the Data Directory > OK > File > Exit.
  3. Open the email > File > Save Attachments > OK.
  4. Browse to the Data Directory noted in step 2 > OK.
  5. OK > if you are prompted to overwrite the existing file > Yes to each file.
  6. Open Sage Accounts > View > View Client Changes > Material Changes.

AdjustmentsOpen this section

Once data is imported, and before exporting the adjustments, any amendment you make to the data is classed as an adjustment.

When you post an adjustment, for example, a bank payment or creating a new customer record, a message appears asking if you want to record the detail of the adjustment.

To view adjustments:

Note: You can only view the adjustments that you have chosen to record.

To export adjustments:

  1. Modules > Wizards > Accountant Link > Yes > Export > Next.
  2. Check the path in the Save as box.
    To change the path, either type in the required path or click Browse > locate the required location > Save.
  3. Enter the required password in the Password and Confirm boxes > Export.
    If the client is using an earlier version, the Select Data Format window appears. You must export the data to the same version the client is currently using.
